This Privacy Policy explains how SCENEARKIVE, based in Ontario, Canada (“SceneArkive,” “we,” “us,” or “our”), collects, uses, and protects your information when you use the SceneArkive website and web application and the SceneArkive Bridge desktop application (together, the “Service”). It works alongside our Terms of Service.

By using the Service, you agree to the collection and use of information as described in this policy.

1. Who We Are

SceneArkive is a continuity system for audio post-production. We are based in Ontario, Canada, and we are responsible for the personal information we handle through the Service. If you have any questions about this policy or your information, contact us at hello@scenearkive.com.

2. Information We Collect

Information you provide.When you create an account, we collect your email address and authentication credentials. If you subscribe, our payment processor (Stripe) collects and processes your payment details—we do not store your card numbers on our own systems.

Your Content. When you use the Service, you capture or upload audio, Pro Tools session data, notes, document and image attachments (such as Notes-tracker files and Mix-tracker screenshots), at your direction. As described in our Terms of Service, you own your Content, we do not train AI models on it, and we treat it as confidential.

Information collected automatically. We keep basic server logs and diagnostic information needed to operate and secure the Service. If you enable multi-factor authentication, we store the information needed to verify your sign-ins.

We use the information we collect to:

We do not sell your personal information, and we do not use your Content to train generative or machine-learning models.

4. Third-Party Service Providers

We rely on a small number of trusted third-party providers to run the Service. Each handles only the information needed for its function:

AI is not part of the core workflow.The Capture, Recall, and Background Builder features—which move audio and session information between Pro Tools and your archive—do not use AI and never transmit your audio or session data to Anthropic or any other AI provider.AI is used only for the optional import features described above—Mix-tracker screenshot extraction and Notes document extraction—and only for the specific files you choose to import.

5. The SceneArkive Bridge & Local Data

The SceneArkive Bridge is desktop software that runs on your own computer. It interacts with your Pro Tools session and your computer’s file system only at your direction— for example, to read your session, capture audio, or place recalled audio into your session’s audio files folder. The Bridge manages only its own application data and caches on your machine, and it never deletes files in your Pro Tools session, your audio files folder, or any other location you choose.

6. Data Retention & Deletion

Trash. When you delete an entry, it moves to Trash and can be restored for 30 days. After 30 days, it is permanently deleted.

Lapsed accounts. If your subscription lapses, your account becomes read-only and your archive metadata is preserved. Your stored audio files are scheduled for permanent deletion 60 days after the lapse. We send reminder emails before this happens, and resubscribing before the deletion date prevents it.

Your responsibility. SceneArkive is a continuity layer, not your system of record. You are responsible for retaining your own master and source files. Copies of deleted Content may persist briefly in routine backups before being overwritten.

7. Your Privacy Rights

Subject to applicable law, you have the right to access the personal information we hold about you, to ask us to correct it if it is inaccurate, to request its deletion, and to withdraw your consent to our use of it. To exercise any of these rights, email us at hello@scenearkive.com. We will respond within a reasonable time as required by law. Note that some information may be retained where we are required or permitted to keep it, and that withdrawing consent or deleting information may limit your ability to use the Service.

8. Security

We use commercially reasonable technical and organizational measures to protect your information, and we offer optional multi-factor authentication, which we recommend you enable. However, no method of storage or transmission over the internet is completely secure, and we cannot guarantee absolute security.

9. International Data Transfers

We are based in Canada, but some of our service providers operate in other countries, including the United States. This means your information may be stored and processed outside Canada and may be subject to the laws of those countries. We rely on our providers’ contractual commitments and security measures to protect your information wherever it is processed.

10. Children

The Service is intended for users who are at least 18 years old. It is not directed at children, and we do not knowingly collect personal information from children.

11. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or through the Service before they take effect. Your continued use of the Service after the changes become effective constitutes acceptance of the updated policy.
